Whitelisting Your Domain: Pros and Cons
What is whitelisting?
Whitelisting your domain enables all users with the same email suffix (e.g. @xyz.com) to access your organization's content. Using a 4-digit group access code and whitelisting an email domain can be a convenient way to grant access to a broad group of learners, especially in scenarios like launch events. However, it comes with trade-offs in terms of security and user control. The choice should be based on the specific needs and priorities of your organization and the nature of the learners' engagement with your content.
Note: It is possible to whitelist a domain without access code(s). If using access codes, each user group must have its own access code.
Pros
- Simplified User Onboarding: Whitelisting the email domain and using group access codes can streamline the user onboarding process. It eliminates the need to individually add every learner's email address to a user group, making it more efficient for administrators.
- Efficient for Large Events: This approach is particularly useful for large-scale events or training sessions where a large number of learners need access quickly. It ensures that every learner can join without prior setup.
- Reduced Administrative Hassles: Administrators don't need to constantly manage user lists, which can be time-consuming and prone to errors. This can free up administrators to focus on other important tasks.
Cons
- Security Concerns: While this approach provides accessibility, it may pose security risks if not managed carefully. Anyone with the group access code and an email address with the whitelisted email domain can access the content, which may not be desirable in certain situations.
- Limited Control: Whitelisting a domain and using group access codes can result in limited control over who accesses the content. You may not be able to track individual users or restrict access to specific users or groups.
- Unauthorized license usage: If a group access code falls into the wrong hands, it can lead to unauthorized access and count against the number of available licenses. One way to help mitigate unintended use is to change the group access code.
